Description

he Headquarters Division (HQ) within the Saskatchewan Public Safety Agency has an exciting permanent opportunity for a highly motivated, proactive, well-organized, confident administrative professional to join our team as Senior Executive Coordinator.

This position will be responsible for:
Managing the President and Fire Commissioner's calendar through collaboration, prioritization and scheduling.
Assembling all briefing and background materials for the President and Fire Commissioner in preparation for meetings.
Liaising with the Ministers Office Admin staff to disseminate information, clarify instructions and follow up on matters pertaining to referrals/casework, while ensuring deadlines are met.
Monitoring/managing the HQ Admin mailbox, tasking/redirecting requests, referrals and casework to other areas within the Agency and managing requests for President approval.
Planning, scheduling and coordinating travel and logistics for meetings, training sessions and other events.
Providing program support for the Fire Marshal and Fire Programs and Standards work unit which includes coordinating training and certification information and liaising with Agency partners.
Coordinating federal award nominations for First Responders.
Coordinating management meetings including compiling and distributing agendas and supporting material, recording meeting minutes, and tracking action items.
Maintaining manual and electronic filing, bring forward and records management systems.
Verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance.
Drafting, recording, proofreading and/or editing a variety of correspondence in accordance with Government of Saskatchewan and Agency visual identity standards.
