Description

The Administrative Assistant will provide administrative support to the Executive Director and additional support for other team members, as necessary. Responsible for duties outlined below as well as other duties as assigned.
Duties and Responsibilities:
Bookkeeping and Financial Reporting:
   - Manage basic bookkeeping to include bank deposits, QuickBooks Online entries.
   - Create and manage invoices, update donor information.
   - Entering of AP and AR
   - Process payments for donations, sponsorship and Rotary House bookings.
   - Ensure all incoming gifts/donations are properly recorded and receipted.
General Office Duties:
   - Answering phones, daily mail pickup and drop off, office maintenance and upkeep.
   - Manage office supplies, coordinate office equipment management and repair needs.
   - Keep the office organized and running efficiently.
Record keeping and Database Management:
   - Create, maintain and update volunteer and donor databases.
   - Record and maintain board meeting minutes.
Other Responsibilities:
   - Manage bookings for Rotary House
   - Assist with Board Meeting preparation.
   - Coordinate volunteers for events.
   - Attend and work at Annual Fundraising Events.
Skills and Qualifications:
   - Proficiency in Microsoft Office
   - Excellent organizational and time-management skills
   - Ability to work independently and as part of a team
