Key Responsibilities
Greet clients warmly, ensuring they feel comfortable and welcomed.
Answer phone calls, emails, and inquiries, providing information about services and scheduling appointments using clinic management software.
Ensure personal and medical information, and required forms are completed accurately.
Maintain and organize client records in the Accuro EMR System, including medical history and treatment plans, while ensuring confidentiality.
File electronic faxes, scan documents, and maintain organized physical and digital filing systems.
Process payments and manage billing inquiries
Monitor inventory levels of office and clinic supplies and place orders as needed.
Assist Dr. Gerbrands and other clinic staff
Coordinate staff schedules and update calendars as needed.
Support the Office Manager with day-to-day duties
Ensure the reception area and clinic spaces are clean, organized, and presentable.
Handle client concerns or complaints professionally, escalating issues to management when necessary.
Ensure compliance with health and safety regulations and adhere to confidentiality policies.
Perform other duties as assigned by management to support clinic operations.
Qualifications
Strong organizational and multitasking skills with a keen eye for detail. Excellent communication and interpersonal abilities to provide exceptional client care. Proficiency with clinic management software; experience with Accuro EMR is an asset. Ability to handle confidential information with discretion and professionalism. 1-2 years experience in a healthcare, administrative, or customer service role.Self-motivated and adaptable
