Key Responsibilities
1. Receives paper documents and police evidentiary media for filing. Sorts, scans and files the documents according to PIEM internal policy.
2. Creates electronic paper folders and maintains an index of documents filed in the paper folder on IEIS.
3. Retrieves appropriate stored media evidence (documents, video, audio, microfilm) and copies media as requested by authorized staff for purposes of investigation, disclosure or audits.
4. Manages the storage of police notebooks, audio, video, CDs and other electronic media. Creates a record on IEIS to index these, and maintains this record as an index. Creates bar-coded labels to assist in tracking of police records and evidence.
5. Uses IEIS to track all movement of records and evidence in to and out of the Records File Rooms.
6. Moves, purges and prepares files for imaging or off-site storage.
7. Maintains an index of microfilmed reports and files stored off-site.
8. Reviews police occurrences for retention and disposal of records according to legislation and retention schedules.
Competencies
1. Grade 12 or Grade 12 equivalent.
2. Ability to understand records retention policy.
3. Exceptional organizational skills, attention to detail, ability to handle tedious work and multiple demands.
4. Ability to work in a team environment.
5. Ability to create indexes and maintain indexes on simple spreadsheets and on IEIS.
6. Computer skills include familiarity with Windows and Microsoft Office. Understanding of AFATS, IRIS, and IEIS.
7. Ability to retrieve documents from microfilmed and microfiche records.
8. Ability to physically handle frequent bending, reaching and lifting.
