CITY OF SASKATOON EMPLOYEE FAMILY ASSISTANCE ADMINISTRATIVE ASSISTANT JOB DESCRIPTION


DATE:    Open to September 25, 2024.

Part time Employment- 20 hours per week

DEFINITION:
    Under the supervision of the Employee Family Assistance Coordinator, this part-time position performs a variety of clerical duties related to the Employee Family Assistance Program (EFAP).


SCOPE AND RESPONSIBILITES:

    Collects, enters, retrieves and manipulates computerized data pertaining to the EFAP.
    Generates statistical reports as required.
    Acts as receptionist by receiving and screening telephone inquiries and in the absence of the EFAP Coordinator.
    Transcribes minutes of various committee meetings, including the Board of Directors and Administrative committee meetings. Assembles copies for distribution and maintains minute binders.
    Prepares and processes payment requisitions, including contracting external parties to resolve billing discrepancies, as required.
    Assists with a monthly newsletter.
    Receives and sorts and distributes incoming mail.
    Performs a variety of clerical duties including filing, photocopying, updating manuals, booking meeting rooms, maintaining an inventory of office supplies, office maintenance.
    Performs other related duties as required.  


QUALIFICATIONS:

    Grade 12 Education.
    Graduation from a recognized business college.
    Typing speeds of 55 wpm.
    Two years related work experience.
    Skill in the operation of a computer with word-processing, database and spreadsheet software (Microsoft, Excel, Access, Simply Accounting, Teams).
    Knowledge of general office practices and procedures
    Ability to deal with confidential material in a discreet manner.
    Ability to communicate effectively, both in person and on the telephone.
    Ability to transcribe meeting minutes accurately.
    Ability to work independently and organize work to meet deadlines.


Salary range from $ 22.51./hr - $26.28/hr,  

Twenty hours per week.
