What you do:
Oversee front reception by fielding incoming calls, greeting visitors, handling incoming and outgoing mail
Order office supplies, arrange couriers, entering bank deposits
Produce monthly and annual reports and prepare office correspondence for distribution
Accounts receivable and payable support
Coordinate travel arrangements, catering and meetings as necessary
Work closely with LMNOs external IT Service provider to maintain tech office equipment inventory, assist with budget, planning and ordering office equipment
Manage and track software licenses
Liaise with LMNOs building Landlord and contractors to coordinate office/building maintenance planning and scheduling
Become an active member of LMNOs Occupational Health & Safety Committee scheduling meetings and taking minutes
Bring awareness to environmental issues and work with the Sustainability Advisory Committee on concerns raised and opportunities to improve our environmental impact.
Coordinate and facilitate the onboarding and offboarding processes
What you bring:
Post-secondary diploma (example: Office Administrative Assistant)
1-2 years of office administrative assistant and/or receptionist experience
Proficient in the Microsoft Office Suite
Excellent written and verbal communication skills
Multi-tasking and time management skills
Organized and detail-oriented
Valid drivers license & reliable vehicle
Strong collaboration and teamwork skills
Outgoing, friendly personality
Positive, enthusiastic attitude
Ability to work independently and show initiative
Familiarity with Mac/Apple Products considered an asset
