We are looking for an Administrative Support/ Receptionist who will be responsible for a wide range of general reception services, and general office management, and will be the first point of contact for any in-person clients to the Saskatoon Office. Candidate must be able to multitask by greeting clients, answering numerous phone lines, processing transactions, updating client information, and sorting and distributing the mail while supporting department needs.
We are looking for someone who is highly organized with excellent communication skills, both verbal and written. This receptionist must be able to work independently with limited or no supervision at times.
Experience;
Experience in an administrative position is considered an asset.
Outstanding organizational skills and attention to detail.
Exceptional communication skills.
Excellent prioritization skills.
Ability to develop professional relationships with clients and stakeholders.
Effective computer skills (MS Office).
Responsibilities;
Assist and support clients, visitors, and employees.
Ensure smooth day-to-day operations of the office: greet visitors, manage incoming and outgoing mail, handle inquiries (phone, email, in-person), and manage in-person appointments.
Ensure office equipment is functioning properly.
Monitor and order office supplies and run errands, as required.
Liaison with landlord, cleaning staff, suppliers, and vendors.
Draft, format, and proofread documents, reports, and presentations.
Organize and maintain physical and digital files.
Complete data entry as required.
Provide back-up to the Operational Support position.
Assist with coordinating travel, catering, and event spaces.
Support other programs or projects as required.
