The Administrative Assistant is responsible for the day-to-day administrative duties of the store.
- Adhere to best practice customer service standards and ensure the best service is provided to our clients and customers at all times
- Answer telephones in a courteous manner and if necessary re-direct calls to appropriate area
- Support customer relationships by responding to customer inquiries
- Customer facing front counter duties checking customers in and out (starting work orders and finalizing work orders), and answering questions.
- Manage and maintain general office filing system ensuring easy access and availability at all times
- Maintain an accurate and complete trail of supporting documentation for all financial and bookkeeping activities (including but not limited to applying cheques to appropriate accounts, coding and posting invoices, journal entries, reconciliations, and petty cash)
- Manage and maintain documentation of all Safety related documents, meeting minutes, inspections, training records, etc.
- Reconcile daily end-of-day receipts and prepare bank deposits
- Scan documents into EDMS
- Complete monthly reconciliation for all accounts, send out customer statements and make AR collection calls
- Manage financial transactions for National Accounts (bill backs, charge backs and voids)
- Process all expense accounts for approval by Store Manager
- Payroll and Benefits processing between Store and Fountain Tire Place
- Assist in inventory management through documentation processes and annual inventory counts
- Assist with budgets
- Develop and send miscellaneous correspondences to various businesses and customers
- Customer and/or parts shuttle
- Coordinate store activities
- Participate in all safety initiatives, as required or assigned, to guarantee safety at Fountain Tire
- Special projects and other duties as assigned
