As a member of the team, reporting to the Branch Administrator, you will provide ongoing administrative support to the branch, and its clients.
Specifically you will:
Answer all incoming calls on the main switchboard;
Greet and assist visiting clients and guests;
Handle and correctly escalate urgent incoming client calls;
Distribute and post mail;
Organize and book boardroom meetings;
Liaise with local caterers to order breakfast/lunches for presentations;
Set up prior to and clean up after boardroom presentations or client/advisor meetings;
Operate video and audio conferencing equipment;
Accept, distribute and arrange all courier pick-up and deliveries;
Maintain cleanliness in the kitchen, boardrooms and reception area;
Maintain stationery supplies and office equipment;
Plan & post Branch social media articles/events on various websites;
Initiate Branch website updates;
Assisting with tax package preparation during tax season;
Provide assistance to other employees on various branch projects as required; and
Other duties as assigned.
To qualify for this opportunity you possess:
Minimum 2 years of Reception/Administrative Assistant experience given preference;
A professional demeanor and dependable nature;
Exceptional client service skills;
Strong written and verbal communication skills;
Excellent proficiency with MS Office including Word, Excel, Outlook, etc.;
Strong organizational skills;
Flexibility and the ability to work in a fast-paced environment with the ability to prioritize; and
Friendly and professional manner.
