Regina Alternative Measures Program (RAMP) is a restorative justice organization and is looking for a full time Administrative Assistant. Required is a friendly disposition and positive attitude as you will mainly be the first contact people have when calling or walking in. As front desk reception you will have excellent time management and organizational skills and enjoy working as a part of a team.
Key responsibilities:
-Answer and direct phone calls and updating/maintaining office voice mail
-Taking a lead role in assisting the team in learning new telephone system including training coworkers
-Organize and schedule appointments
-Plan meetings and take detailed minutes for caseworker, board and stuff meetings
-Write and distribute email, correspondence memos, letters, faxes and forms
-Create new files, requisition and other material used by the team
-Maintain and update group contact lists, publications and brochures
-Assist in the preparation of regularly scheduled reports
-Maintain an electric and manual filing system including yearly archiving of files
-Update and maintain office policies and procedures
-Provide support to Case Management Coordinator as needed
-Order office supplies and research new deals and suppliers
-Maintain and reconcile petty cash and credit card purchases and deposits
-Provide general support to visitors
-Act as the point of contact for internal and external clients
Requirements:
-Proven administrative experience
-knowledge of office managements systems and procedures
-working knowledge of office equipment, like printers and fax machines
