Reporting to the Director of Education, the Administrative Assistant will work as part of the Education team and be responsible for providing administrative support including all aspects of secretarial, reception and clerical duties to help facilitate the efficient operation of the organization.
This position requires a well-organized and results oriented individual to ensure the effective administration of internal systems, records management and internal and external communications. Successful candidate will be highly motivated with the ability to plan, organize and prioritize.
RESPONSIBILITIES:
? Office reception; answer, screen and direct incoming calls, receive and direct visitors and clients, photocopy, fax and mail documents;
? Coordinate meeting logistics and maintain electronic and hard copy filing systems;
? Prepare and modify documents including correspondence, reports, drafts, memos and emails;
? Schedule and coordinate meetings and travel arrangements for the Education Department;
? Maintain office supply inventories and coordinate maintenance of office equipment.
QUALIFICATIONS:
? Diploma in Administration plus two years? experience in the administrative field; however, a combination of education and experience will also be considered;
? Experience working with First Nations and familiarity of customs, culture and traditions;
? Punctual and dependable with an ability to work in a confidential environment;
? Able to handle multiple tasks and work with minimal supervision and constant interruptions;
? Excellent oral, written, communication and organizational skills;
? Proficient knowledge and experience with Microsoft Office and relevant software.
