Primarily responsible for providing assistance in planning, organizing, delivering and evaluating programs in an assigned area. The Program Assistant may act as a liaison between coordinators and the instructors, administrative office, funding agencies, and community. Some clerical support work is required and occasional travel may be necessary. The Program Assistant may be assigned a variety of duties depending on the changing needs of the College. These duties include, but are not limited to the following: collect research data for programs as directed; advertise assigned programs (e.g. produce and distribute bulletins, arrange placement of ads) and provide programming information to the general public, program applicants, and students; arrange for facilities and equipment needed for the operation of assigned programs; obtain price quotes from suppliers, order books and supplies, ship/receive, and maintain inventories; assist in student recruitment as directed (e.g. schedule interviews, arrange travel); orient new instructors about College administrative procedures; monitor program activity and provide feedback to the supervisor(s); collect student documentation and reports from instructors; assist in preparing program reports and scheduling report periods; distribute reports and documentation internally and externally as required; review program budget expenditures and match spending summaries from the accounting unit with the Coordinator's spending record; send, receive, and arrange invigilation for exams for students in various institutes (e.g. universities); compile information packages (e.g. instructor's manuals, attendance manuals, curricula); design forms, create spreadsheets, and produce materials using basic spreadsheet and advanced word processing techniques; compose and distribute memos, letters, and reports and record and transcribe meeting minutes.
