Description

Primary Purpose:  To provide essential reception and administrative assistance to ensure the smooth operation of daily activities, particularly those related to the Swift Current office of SEIU-West. As a first point of contact, this position plays a key role in providing the highest level of service to SEIU members, and works closely with their employers as well as local and national SEIU staff.

Nature of Work:  Reporting to the Director of Administration, this position supports the Swift Current SEIU-West office.  In addition to routine tasks, this position provides support to staff for a variety of reception and administrative tasks as needed.  This position requires the ability to work independently and receive general supervision.  The position emphasizes teamwork and the provision of excellent, efficient and friendly support.  It is driven by constant deadlines, continuous changes, and shifting priorities.

Typical Duties:  Perform reception and administrative duties. As the first point of contact in the Swift Current office, respond to internal and external inquiries and requests in a prompt, professional and thorough manner. Problem solve where appropriate or act as a liaison between the inquirer and the appropriate staff member to ensure that all inquiries are resolved; manage routine tasks such as sorting and distributing the mail, ordering supplies, distributing correspondence, filing, booking meeting rooms, and arranging office keys and parking; create, edit, proofread, update and maintain complex office documents (collective agreements, forms, letters, memos, charts, posters/flyers, presentations, etc.), and other similar tasks as assigned; provide support to staff in the Saskatoon office with tasks such as typing and formatting letters, reports, etc.; plan and coordinate meetings and special events; and coordinate travel arrangements such as securing vehicle rentals, registering for conferences, and arranging for flights and hotels.
