Description

POSITION SUMMARY:
Reporting to the Director of Community Services, the Executive Assistant provides administrative support services to the Director and department.  Specific responsibilities include:
Review internal and external policies and provide recommendations to the Director of Community Services
Support Community Services staff by processing invoices and purchasing orders using financial software
Assist with the development, maintenance, and updates of all Community Services brochures, forms, and website content
Develop and maintain an effective records management system and document controls for all documents administered by the Community Services department
Manage the schedule of the Director of Community Services
Act as a Liaison to Director of Community Services for:
    - Community Partners
    - Municipal, Provincial and Federal Governments
    - Non-governmental Organizations
    - Internal Community Services Team:
    - Parks and Recreation
    - Public Safety
    - Cultural and Social Services
    - Facilities Maintenance Group

QUALFICATIONS:
The successful candidate will possess the following qualifications:
Completion of a post-secondary program in Office or Business Administration
2  3 years experience in an Executive Assistant or Administrative Support role
Strong computer skills with proficiency in Word, Excel, Access, Power Point, Outlook, Adobe Professional and other internet/intranet software programs.
Ability to communicate professionally, both verbally and in written correspondence, to all levels of staff, Council, Provincial and Federal Governments and all internal and external stakeholders.
Ability to deal with the public in an appropriate and professional manner
Proven high standards of ethics and confidentiality
Well organized, accurate and detail oriented, with an ability to prioritize workflows and meet deadlines
