Administrative Assistant l - Reception
Competition#:  SSA-0095

The incumbent provides administrative functions including reception and excellent client focus. The incumbent will direct incoming inquiries. This position is responsible for providing reception, clerical and administrative support  while maintaining a high degree of accuracy.  The Administrative Assistant l plays a key support role in ensuring seamless business operations and professional presentation of the Institute. These include the following broad range of accountabilities:
Greets clients and visitors in a professional manner, as well as, determine nature of visitor's business and provide appropriate information
Answering the phone, transferring calls to the appropriate staff member, take messages as required, coupled with updating and maintaining reception procedure and guideline manuals
Processing mail, courier packages, and faxes
Assist employees with administrative support as required and maintenance and tracking of staff attendance
New employee phone set up and maintenance
Strong knowledge on all office equipment.
Management of the front office which includes being responsible for opening and closing the office, coordinating meeting requests and purchasing and maintaining supplies as needed
Required Qualifications and Experience: Successful completion of an office education certificate, combined with two years of relevant reception experience. Must be prompt, reliable, and exhibit excellent oral and written communication skills.  Prior experience working with Microsoft office suite of programs is required. Minimum 55  60 wpm is required. Equivalent education and experience will be considered.
