Description

JOB FUNCTION
Provide administrative support to help ensure the smooth operation of the area. This position plays an integral role in supporting the department & in facilitating the achievement of departmental & corporate goals & objectives.

DUTIES & RESPONSIBILITIES
-Work closely with key individuals to provide administrative support & coordination to the  department for team & project initiatives, as well as day to day operations
-Develop and maintain departmental correspondence & reports
-Update & maintain project documentation such as: work plans, progress updates, scope documents, action items & communication & change management plans
-Prepare meeting agendas, take minutes & follow up as directed on assigned action items to ensure deadlines are met
-Liaise with key individuals inside & outside the organization
-Make travel & course/conference registration arrangements, including managing payments, invoices & expenses
-Anticipate needs, problem solve, monitor issues & ensure appropriate parties are kept informed
-Respond to correspondence, telephone & email inquiries
-Support the communication of business goals, quality standards, processes, procedures & policies

QUALIFICATIONS & SKILLS
-Completion of a post-secondary diploma or certificate program in a related field & a minimum of two years previous experience in a similar role or an equivalent combination of training & experience
-Previous experience in project administration &/or familiarity with Microsoft Project would be considered an asset
-Previous experience in the insurance industry, or with administration of group plans would be considered an asset
-Demonstrated proficiency in Microsoft Word, Excel & PowerPoint
-Ability to work in a team environment
-Ability to manage multiple competing priorities & frequent deadlines
