Description

This position reports to the Executive Director. The incumbent will provide professional administrative support services to the Executive Director, Director of Operations, Director of Events. This position is responsible for the effective and efficient operation of the Administration office.
1. Provide administrative and professional clerical support
2. Send out via email or hard copy updates to volunteers, donors, etc. as to upcoming events
3. Key and develop letters, memos, reports, forms and tools
4. Maintain office supplies, equipment and inventory
5. Maintain and update social media information including the website
6. Provide customer service and information about the Prince Albert SPCA programs and services to the public in person and via telephone, e-mail and fax.
7. Assist in the administration of programs and services by preparing, distributing, organizing and retaining databases; various forms, letters, memos, reports and records, including spread sheets and data entry.
8. Formatting and word processing of general correspondence.
9. Set up and maintain administrative records and files;
10. Maintain an electronic and hard copy filing system.
11. Track and record all information re programs and services, statistics, volunteer hours, etc.
12. Respond to a variety of public enquiries and requests.
Prerequisites:
1. Completion of Grade 12 plus a recognized/clerical business certificate as well as two years of clerical experience and/or the equivalent combination of clerical training/experience.
2. Training and /or experience at an intermediate level in the use of word processing packages (i.e. Word).
3) Excellent communication, written and oral, interpersonal and organization skills with the ability to organize, prioritize and handle multiple tasks and changing priorities within given time constraints.
Knowledge and experience with common office procedures and software (ie. Access, Excel, Power Point, Outlook). Ability to effectively and cooperatively.
