REPORTS TO: ASSISTANT ADMINISTRATOR
PRIMARY DUTIES:
1. Monitors and tracks vacation/sick time coverage as required.
2. Purchases office supplies for all departments and maintains a reasonable inventory of frequently needed items.
3. Opens and secures front office doors.
4. Processes payroll through liaison with the Assistant Administrator.
5. Coordinates and processes employee benefits through enrolment and changes and verifies benefit billings.
6. Prepares and maintains various payroll related records including T-4s and T-4As, record of earnings, workers compensation, municipal pension remittance reports, and any other related payroll reports.
7. Creates counter receipts, makes regular bank deposits, prepares letters and statements for non-payment and assists the Assistant Administrator as required.
8. Prepares correspondence, Council minutes, agenda and by-laws.
9. Performs any financial clerical/reception duties such as word processing, copying, collecting and delivering mail daily, files correspondence and maintains the filing system, accounts payable and accounts receivables as required;
10. Answers and directs public inquiries and complaints received in person and by telephone.
11. Performs other duties as may be assigned.
Experience & Qualifications
The incumbent shall have knowledge of office procedures and equipment, developed word processing skills with sound organizational skills and good written and verbal communication skills. These qualifications will normally be acquired through completion of grade 12 and a certificate in Business or Office Administration. Prior accounting experience would be an asset.
Incumbent must have excellent computer skills and experience using Microsoft Office programs, specifically Word and Excel and PowerPoint.
The position also requires a Criminal Records Check.
