Description

The Senior Document Control Person is responsible for maintaining accurate and organized records by entering data using a personal computer; and performs related duties as assigned.


SPECIFIC DUTIES AND RESPONSIBILITIES
1.    Develop an accurate transmitting, receiving procedure for all outgoing and incoming correspondence - hard copy and electronic copy.
2.    Understand and use Aconex, an electronic document management system.  Training will be provided.
3.    Develop a document distribution matrix, including who has access to what type of document during distribution or archiving of documents.
4.    Develop a document log - contains type of document, originator, Rev #, Date of Issue, etc. - be able to distinguish between drafts, revisions, addenda, between text or CAD.
5.    Develop a policy for document retention time and storage & archiving of original documents.
6.    Train other team members on document management system.
7.    Establish naming & filing convention/procedure for all document types.
8.    Work closely with Health & Safety, Engineering and Construction to establish "key words/phrases" to describe documents to assist search engines in finding similar or related documents.
9.    Facilitate return of documents once issued for approval.  Initiate and track document routing guides on site.
10.    Develop a procedure to sufficiently show evidence of an audit trail for all documents.
11.    Create dictionary of terms which includes description of all acronyms used in documents.
12.    Such other duties as may be assigned from time to time.

QUALIFICATIONS, SKILLS AND KNOWLEDGE
- College Diploma (Certificate) with a minimum of 5 years' experience in Document Control/Management
- Working knowledge of Document Management Systems
- Experience in a project environment
- Strong written and oral communications skills
- Good people skills
- Strong Microsoft Outlook, Word and Excel skills
