Description

Were currently seeking an Administrative Officer to join our team on a permanent full-time basis, located in Regina, SK. As a member of the Executive Administration team, you will provide essential administrative support to ensure smooth day-to-day operations, including reception coverage, organizing incoming mail, and managing corporate records. This role also supports the Stakeholder Experience team by coordinating meetings, handling correspondence, and assisting with educational session logistics. The ideal candidate is highly organized, detail-oriented, and skilled in multitasking within a professional environment. Responsibilities:
Youll provide administrative support, including reception duties, mail distribution, petty cash management, office services relationships, and stationary inventory and ordering.
Manage calendars, coordinate meetings (including note-taking), prepare correspondence, arrange travel and process expense reports.
Manage mail (regular mail, emails and faxes) including scanning, verifying and routing through pension administration system as well as to different departments.
Maintain and organize corporate records and retention system.
Assemble retirement packages, maintaining letter templates, printing letters, generating routine reports and off-site archived record retrieval.
Manage corporate templates, forms, and automated letters, creating and updating as needed.
Coordinate member and employer education sessions, handling logistics, materials, and follow-ups.

Experience:
Youll have a diploma/certificate in business or office administration with 3+ years of administrative experience (or equivalent education and experience).
Experience managing executives calendars, meeting logistics and information flow information flow in a timely manner.
Proficient in Microsoft Office Suite.
