The Caring Place is a non-profit therapy clinic in Regina, SK.
We are looking for a pleasant Front Desk Casual Receptionist to undertake receptionist and clerical duties at the desk of our main entrance. The selected candidate must be available Tuesday & Thursday evenings and willing to fill in daytime hours.
You will be the face of the company for all visitors and will be
responsible for the first impression we make. The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with concerns and give accurate information. A confidential customer oriented approach is essential to this role.
Responsibilities:
- Greeting and welcoming Clients.
- Answering questions and addressing concerns.
- Attending to incoming calls.
- Dealing with scheduling existing clients and setting up new clients. - Managing the scheduling of our 11 Counsellors with accuracy.
- This position handles all initial financial transactions with clients and stakeholders. This includes invoicing clients sessions, accepting payment, new client deposits, issuing receipts.
- Tracking Counsellors time in booking appointments.
- Answer all incoming calls professionally and with compassion.
- Check incoming emails and respond accurately, forwarding emails as need be.
- Take up other duties as assigned (meeting arrangements etc.)
- Ensure the office is tidy and free of clutter, basic cleaning required.
Requirements:
Experience as front desk reception
Familiarity with office machines (e.g. phones, printer etc.)
Knowledge of office management and basic bookkeeping
Proficient in English (oral and written)
Excellent knowledge of MS Office (especially Excel and Word)
Strong communication and Customer Service
Good organizational and multi-tasking abilities
Problem-solving skills
Experience int he mental health sector would be an asset
