At Docs Truck & Ag Repair, the Office Assistant provides support and shares some duties with the Office Administrator. Docs Truck & Ag Repair uses the Quickbooks accounting system, desktop version. Knowledge of Quickbooks or basic accounting practices is an asset, as is knowledge of Microsoft Excel and Word programs.
Duties include, but are not limited to:
- Dealing with customers in the front office, in person and over the telephone.
- All aspects of Accounts Receivable, including:
o Entering customer invoices from work orders that are generated by the technicians.
o Generating customer statements at month-end and mailing/emailing them.
- All aspects of Inventory control, including:
o Placing weekly stock orders and emergency stock orders
o Receiving/unpacking stock and checking to packing lists/bills
o Entering any new stock items in the Quickbooks program, making shelf labels, and putting them in the proper place in the parts area
o Reconciling vendor bills to packing lists
o Entering vendor bills
o Reconciling vendor bills to month end statements
- SGI Vehicle Standards and Inspections (SSI)
o The Office Assistant is one of the Signing Officers for the SGI Vehicle Standards and Inspections Certificates. Docs Truck & Ag Repair performs safety inspections on Power Units (Semis) and Semi-Trailers.
o The Signing Officer ensures that all information is filled out on the Certificates, including the Inspecting Statin Information, Vehicle Owner Information, and Vehicle Information, and that the safety stickers and expiry dates are correct.
