Office Assistant will assist with multiple aspects of the office including customer service and administrative functions. Experience in an HVAC/Plumbing office environment is highly desired but not necessary. This individual must have a high level of interpersonal and customer service skills.
Office assistant will perform regularly assigned tasks that include but are not limited to the following:
Prepares new employee paperwork to foster positive attitude towards company goals
Maintains required documentation and records to meet best practices
Maintains strict confidentiality of employer, business, employee data, and other employment information
Ensures the integrity and functionality of office equipment (computers, phones, printers, etc.)
Aids as backup to phone answering duties
Works with Service Technicians to schedule follow-up appointments when needed
Facilitates and maintains equipment warranty and registration with customers
Coordinates and schedules inspections with customers
Follows up with customers post installations to ensure customer satisfaction
May assist with billing/invoicing duties as needed
REQUIREMENTS:
2+ years of office/reception duties is desired
Proficient computer skills - Sage 50, MS Outlook, Excel, Word, and Adobe Acrobat
Excellent oral and written communication skills
Ability to manage work time to meet multiple deadlines
Maintain organized work processes, materials and files
Ability to multi task
Experience:
administrative office duties and customer service/reception: 2 years (Preferred)
Requires 45+ words per minute
Will have flexible work schedule
