JOB DESCRIPTION
Administrative assistant duties and responsibilities includes providing administrative support to ensure efficient operation of the office. You will support co-workers through a variety of tasks related to organization and communication. The administrative job scope includes pleasant and professional communication (both written and verbal) as well as ensuring that all administrative duties are completed accurately and in a timely manner.
PRIMARY DUTIES
Answer and direct phone calls
Front line assistance to the public.
Organize and schedule meetings and appointments.
Receive and arrange bookings (e.g. campground & handi-bus)
Distribute daily incoming mail and other paperwork
Produce work orders for public and other requests for service.
Process accounts payable full cycle from receipt of invoice to distribution of cheques.
Produce, distribute and collect general accounts receivable invoices (e.g. pet &
business licenses)
Assist in bylaw administration and compliance.
Process accounts receivable receipts and make daily bank deposits.
Assist in the preparation of regularly scheduled reports
Maintain a filing system (hard copy and digital)
Order office supplies
REQUIREMENTS
Proven administration or assistant experience
Knowledge of office management systems and procedures
Experience with accounting processes.
Excellent time management skills
Attention to detail and problem-solving skills
Professional written and verbal communication skills
Strong organization and planning skills
Proficiency in Microsoft Office
Experience within a local government setting is an asset
Experience using Munisoft is an asset
Ability to understand and speak French in addition to English is an asset
