Duties of the Administrative Assistant include:
- Maintain documents for received materials, Safety, QA/QC, labour qualifications and certifications, training, etc., and ensure appropriate compliance through filing, composing, and editing documents and reports
- Answer and redirect phone calls to appropriate personnel
- Manages email and calendars on behalf of the company
- Schedule meetings, record meeting minutes, and ensure accuracy and timely submissions
- Perform general clerical duties like photocopying, scanning, and faxing
- Receive and validate invoices, assist with accounts payable viewing/coding and approvals
- Accurately report/audit employees time worked/not worked during project
- Order office supplies and coordinate delivery as requested
- Manage travel arrangements, and perform expense reconciliation at times
Requirements for the role:
- Completion of high school is required
- At least 1-year previous clerical experience or working in a similar role
- Good communication skills, both written and verbal
- A good grasp of the MS Office Suite
