We are seeking a highly organized and detail-oriented Office Assistant/Service Coordinator to join our team. The Office Assistant will be responsible for managing and coordinating all aspects of our service operations, including scheduling, dispatching, and customer service. The ideal candidate will have excellent communication skills, be able to multitask, a team player and have a strong customer service orientation.
- Answer and direct incoming calls from general contractors, plumbers, and service customers
-Administer and maintain record of all files and folders, keeping them readily available for Manager
-Responsible for scheduling appointments and dispatching service technicians.
-Close-out all completed jobs by posting invoice, mail or email to customer
-Coordinate material ordering for all jobs; make sure to book a customer for appointment once parts received.
-Assist in checking that technicians timesheets match work order by comparing times/schedules and coordinating with office manager to address any issues.
-Create labels for the techs
-Create gas/plumbing permits when needed
-Coordinate with sub-contractor for work as necessary
- Performing basic data entry as required
-Other tasks as instructed by manager
