The Ministry of Energy and Resources is seeking a highly motivated and organized individual to provide administrative support to the Assistant Deputy Minister, Energy Regulation Division. This position requires excellent communication and interpersonal skills, considerable experience in office administration, extensive knowledge of government policies and procedures, and the ability to work independently with respect to carrying out the duties assigned in a challenging and fast paced environment.
You will be responsible for processing business/travel expenses, credit card reconciliation, invoices, prior approvals and timecard reports; preparation and/or editing of documents; maintenance of office filing system including familiarity with archival practice and the government administrative records system (ARMS). Administrative duties including coordinating the planning, scheduling and organizing of procedural issues and projects; develop branch office procedures, directs the development, implementation and delivery of branch administration and provides orientation, leadership and advice. You will coordinate referrals for correspondence and briefing notes to appropriate staff within the branches, answer telephone inquiries and redirect callers. Accuracy and confidentiality in all that you do is a must in this role.
As the successful candidate, you must have the demonstrated ability to use a wide variety of computer applications and the knowledge and skill related to office and administrative procedures and protocols, including the ability to interact with colleagues and challenging clients with diplomacy and integrity.
Typically, the knowledge and abilities required for this position would be obtained through the completion of an administrative certificate or diploma in combination with work experience, or an equivalent combination of training and experience.
