The ideal candidate is a proactive and driven individual who is capable of multi-tasking, engaging with the public in both a friendly and professional manner, and is able to work as a supportive teammate with fellow staff members and lawyers. Attention to detail, organization skills, and self-motivation in an engaging legal environment will be expected of the successful candidate.
Key Responsibilities
- Greeting, intaking, and managing clients and members of the public;
- Answering and directing incoming telephone calls to our lawyers and support staff;
- Receiving payments and processing receipts;
- Sorting and distributing incoming mail and deliveries;
- Dropping off and picking up deliveries to the courthouses and other law firms;
- Filing and storage of documents and identification of clients;
- Performing other clerical tasks as needed: photocopying, scanning, closing files, etc.
- Ordering of office supplies and materials, ensuring meeting rooms remain tidy; and
- Other duties as may be assigned.
Qualifications
- A minimum of two years experience as a receptionist, administrative assistant, or similar front-end support staff member;
- Post-secondary education in an office administration, or similar program, is considered to be an asset, but not required;
- Experience in an office setting or legal environment is considered to be an asset, but not required;
- Superior verbal and written communication skills;
- An ability to multi-task and direct multiple calls through a switchboard call system;
- Excellent customer service and professionalism is of critical importance;
- Flexibility and willingness to assist and support others when needed; and
- Proficiency in Microsoft Office programs, particularly Microsoft Outlook email and calendar capabilities;
