Key Responsibilities
Provide administrative support for day-to-day activities across our regional portfolio.
Maintain all facets of tenant records, including filing, tracking, and maintenance.
Handle rent collection, cheque posting, and account maintenance.
Set up and maintain lease profiles.
Code invoices and track lease documents.
Track and approve all tenant monthly rental billings/EFT payments.
Assist with the preparation of seasonal work contracts (landscaping, snow removal, etc.).
Assist with annual inspections (
Collaborate with the property manager and accounting department on budget preparation.
Handle tenant and supplier inquiries.
Distribute purchase orders.
Prepare necessary invoices, reports, minutes, and letters.
Provide switchboard relief and occasional vacation relief for on-site office staff.
Schedule maintenance and follow up as required.
Perform other related duties and special projects as assigned.
Need-to-Haves
2-3 years of administrative experience.
Strong communication skills, both oral and written.
Ability to develop and sustain cooperative working relationships; team player.
Effective time management, able to work under pressure and meet tight deadlines.
High attention to detail; strong organizational skills.
Intermediate to advanced skills in Office programs.
A vehicle you can use for work.
Must provide a clean criminal record check.

Experience in the property management field.
Tenant Statement of Accounts experience.
Experience with property management software.
