Description

The Administrative Assistant is responsible for managing a variety of services on behalf of clients and providing administrative support to the Executive Director and the Board of Directors. The Administrative Assistant: greets and directs visitors, answers phones and responds to inquiries, maintains the daily visitor log, ensures the general office area and front drop-in area are kept neat and professional; prepares correspondence, reports and other related documents in a professional and timely manner; assists with planning, organizing, set up and hosting of the Annual General meeting and other SWAP hosted events or celebrations; contributes to the onboarding of new employees providing information, training, resources and support; creates and maintains an inventory of office equipment and supplies as well as drop-in supplies and arranges preventative maintenance and repair of office equipment and furniture; ensures timely completion of vehicle travel logs, maintains vehicle maintenance records, arranges regular vehicle maintenance; maintains the central filing system that includes paper and/or electronic client and operational files, maintains appropriate logs and data bases of statistical and other information associated with program and service delivery; and, adheres to established safety policies and protocols to ensure the safety of self, colleagues and visitors.
